Fulfillment, Refund and Cancellation Policy

This policy explains how OurDigitalContract is delivered as a digital service, how to cancel a paid subscription, when a refund may apply and what happens to your data after cancellation. OurDigitalContract is offered by Qfile B.V. This policy accompanies our Terms of Service.
What you are purchasing
OurDigitalContract is an online software service (SaaS) that lets you draft, send and electronically sign documents and manage employee records. You purchase the service as a subscription. There is a Free plan and the paid plans Pro, Gold and Business. Paid plans are billed monthly or annually through our payment service provider, Mollie.
Fulfillment: immediate access
The service is a digital service that is accessible immediately after sign-up. As soon as you create an account and, for a paid plan, your payment is confirmed, you get instant access to the corresponding features. There is no physical delivery and no waiting time. For a paid subscription, the service starts as soon as the payment is processed by Mollie.
Cancellation, monthly or annual
You can cancel at any time by sending an e-mail to support@ourdigitalcontract.com.
- Monthly subscription: cancellable monthly. After cancellation your access continues until the end of the paid month and is not renewed afterwards.
- Annual subscription: runs until the end of the paid twelve-month period. After cancellation, renewal stops; your access remains until that end date.
On cancellation, renewal stops. Amounts already paid are not refunded, unless mandatory law or this policy provides otherwise. The subscription can be cancelled monthly; there is no notice period.
Right of withdrawal for consumers
If you enter into a distance contract as a consumer (a natural person not acting for a profession or business), you generally have a statutory cooling-off period of 14 days in which you may withdraw from the contract without giving a reason.
A statutory exception applies to digital services. If you have expressly agreed that the service is delivered immediately, during the cooling-off period, and you have acknowledged that you thereby lose your right of withdrawal once the service is fully performed, then the right of withdrawal lapses. When you sign up for a paid plan we ask for this express consent so that you have immediate access. If you have not given that consent, you may withdraw within 14 days. OurDigitalContract is aimed at business customers; the statutory right of withdrawal for consumers does not apply. You can cancel by e-mail at support@ourdigitalcontract.com.
Business customers not acting as consumers do not have a statutory right of withdrawal; for them the cancellation rules above apply.
How to cancel or request a refund
You cancel from your account, under your subscription settings. If you have a question about a refund or want to exercise your right of withdrawal, contact us at support@ourdigitalcontract.com. Include your account details and, if withdrawing, a statement that you wish to use your right of withdrawal. We respond within a reasonable time and, where a refund applies, we refund using the same payment method you used to pay.
What happens to your data after cancellation?
After your subscription ends, we close access to your account. We delete or return your data in line with our privacy policy and the data processing agreement. For the employee data we process on your behalf, you are the controller and you decide whether we delete it or return it to you, unless a statutory retention obligation provides otherwise. Make sure to export or back up any data you want to keep before your account closes.
Prices and VAT
Amounts stated are exclusive of VAT unless stated otherwise. Qfile B.V. is the merchant of record for your purchase and handles invoicing and VAT itself; Mollie acts solely as the payment service provider. See our Merchant of Record page for details.
Changes
We may amend this policy, for example if our plans or approach change. The current version is always available on this page.
